About the role
We are looking for an Alternative Provision Assistant to support the administrative functions of our Alternative Provision team.
You will help coordinate services for children and young people with SEND and their families, working closely with the Alternative Provision Manager to ensure smooth delivery of support.
This is a varied and rewarding role that involves maintaining accurate records, working collaboratively with families and professionals such as schools and local authorities, and supporting the day-to-day running of the service.
Key Responsibilities
- Administrative Support: Deliver timely and efficient administrative support to the Alternative Provision team.
- Communication: Respond to email and phone enquiries in a clear, professional, and supportive manner. Work collaboratively with both families and professionals.
- Database management: Maintain accurate records about families accessing alternative provision and providers, ensuring records are kept up-to-date.
- Invoice Management: Assist with the tracking and processing of invoices, ensuring billing is accurate and up to date.
- Support and Signposting: Engage with alternative provision families offering appropriate support and signposting to other relevant services where appropriate.
- Collaboration: Work in partnership with the Alternative Provision Manager to contribute to the ongoing development and improvement of the service.
- Other Duties: Undertake additional tasks as required, supporting the broader success of the team and charity.
Key skills
- Knowledge of SEND Practices: A working knowledge of Special Educational Needs and Disabilities (SEND) practices and processes.
- Understanding SEND Regulations: Familiarity with SEND-related regulations or statutory frameworks.
- Communication: Excellent verbal and written communication skills, with the ability to adapt communication styles to different audiences.
- Empathy and Sensitivity: Ability to support families with empathy and understanding, especially during challenging situations.
- Organisation and Time Management: Strong attention to detail, with the ability to manage multiple tasks, adapt to changing priorities and meet deadlines.
- IT Proficiency: Confident using Microsoft Office and database systems, with the ability to learn new tools as needed.
- Teamwork and Independence: Comfortable working independently and collaboratively as part of a team.

⏳ Hours: 25 per week
💰 Salary: £24,000 Full Time Equivalent (£16,000 pro rata for this part time role)
